The Medical Records Assistant role within West Yorkshire Police’s Occupational Health Unit is a dynamic and meaningful position designed for someone who wants to make a real difference to the wellbeing of the Force. This role is central to supporting the health, safety, and operational readiness of both police officers and staff. Rather than being a routine administrative post, it is positioned at the heart of the organisation’s health surveillance, medical coordination, and workforce wellbeing efforts.
The role focuses on ensuring that the Force meets its statutory health surveillance requirements by managing recalls, compliance checks, and contributing to quarterly health surveillance data reports. The Medical Records Assistant prepares these statistics and helps present them at formal meetings, allowing senior leads to make informed decisions about workforce safety and operational risks. This is not just paperwork — it has genuine operational impact.
Other key elements of the job include providing essential administrative support to Medical Practitioners, coordinating their diaries, organising appointments, and facilitating recruitment medical processes. The role also involves liaising with hospitals, GPs, consultants, physiotherapists, psychologists, and specialist medical providers, making it a highly interconnected position.
The post-holder will handle sensitive and highly confidential medical information daily, requiring professionalism, discretion, and a thorough understanding of data protection legislation. They will maintain and update the Force’s medical information systems (including Cohort), ensuring accurate records and smooth workflows.
The ideal candidate will bring strong administration skills, attention to detail, proficiency in Microsoft Office, and the ability to manage multiple demands in a fast-paced environment. Experience in a medical setting or audio typing is advantageous but not essential. Personal integrity, confidentiality, and a commitment to supporting health and wellbeing are key qualities.
